Dear Parents,

EXTRAORDINARY GENERAL MEETING TO BE HELD ON 3rd OCTOBER @ 19.30 AT ROY UNDERDOWN PAVILION, HAMBLE

This is a letter to remind all Parents that I have had to call an Extraordinary General Meeting on the 3rd October to elect a new Chairperson and Company Secretary due to resignations from the Committee of Hamble Village Playschool (“the Playschool”).

Both I and the Secretary tendered our resignation in July as our children no longer attend the Playschool, as they are now in full time education with effect from September 2012.

The overall management and control of the Playschool rests with the individual members of the Playschool’s Committee (i.e. elected members from parents with children that attend the Playschool) in accordance with the adopted Constitution which is effectively the rules. Under the terms of the Constitution, the minimum number of Committee members shall be 5 and consists of a Chair, a Treasurer and a Secretary. However, not less than 60% of the Committee needs to be Family members (i.e. children must be going to the Playschool).

Both these key roles, as Chair and Secretary will need to be filled by parents with children already at the Playschool or parents whose children are due to start shortly to ensure the correct percentage of Family members are elected. The role of Treasurer will also be available from Christmas.

If no parents are forthcoming in nominating themselves, then without a properly Constituted Committee, the Playschool will not be able to remain open. Therefore, we urgently need parents to be elected into these roles.

All positions are key roles for the ongoing survival of the Playschool and are very rewarding from a personal perspective.
